What to get right

Match the setup to how your business actually runs

A restaurant needs tip adjustment, split checks, and fast table turns, often with handheld or pay-at-table devices. A retail shop needs inventory tracking, barcode scanning, and a clean way to handle returns and exchanges. A salon or spa needs appointment booking, deposits or cards on file for no-shows, and tips assigned to the right stylist. Service businesses that work on-site or bill later need mobile payments, invoicing, and recurring billing. Write down how a typical sale happens in your business before you pick hardware or software.

Know what you are paying, line by line

Processing costs are easier to understand when the pricing is transparent. With interchange-plus pricing, you pay the card networks' actual cost plus a fixed margin, so you can see what goes to the networks and what goes to your processor. If you already process cards elsewhere, send us your most recent processing statement and we will show you, line by line, what you are paying and beat it, or tell you honestly that we cannot. If you would rather remove processing cost from your side, a cash discount program is available.

Connect payments to the rest of your tools

Your POS should talk to your accounting, customer records, and online store so you are not re-entering sales by hand at the end of the day. TouchSuite's ERP, CRM, and e-commerce integrations are included at no monthly fee with a TouchSuite merchant account. That matters if you plan to sell online as well as in person, or keep a customer list for rebooking and promotions.

Keep your options open while you find your footing

A new business changes quickly in its first months. You may add a second register, start delivery, or move to a bigger space. TouchSuite accounts are month-to-month, cancel anytime, with no fees to leave. Qualifying merchants receive free terminals and POS hardware with no upfront cost, which helps when you are watching every dollar before opening day.

How it works

  1. Get your business paperwork in order. Before you apply for a merchant account, have your business entity set up (for example an LLC or corporation registered with the North Carolina Secretary of State, or a sole proprietorship), your EIN from the IRS, a business bank account for deposits, and a government-issued photo ID for each owner. Local licenses, zoning, and any health or professional permits depend on your business type and location, so check with the City of Charlotte and Mecklenburg County offices for what applies to you.
  2. Talk through your setup. Tell us what you sell, how customers pay, whether you take tips or deposits, and whether you sell online. We will recommend terminals, POS software, and integrations that fit, and explain the pricing in plain terms. If you already have a processing statement, send it over for a line-by-line review.
  3. Apply and get approved. You submit the merchant account application with your entity details, EIN, bank information, and ID. Approval time varies depending on your business type and how complete the application is, so apply a few weeks before you plan to open rather than the week of.
  4. Set up and start taking payments. Once approved, most merchants are processing within 24 to 48 hours. Use that window to load your menu, products, or services, set up staff logins and tip settings, and run a few test transactions so your team is comfortable before customers arrive.

Questions to ask a processor

What do I need to have ready to apply for a merchant account?

Plan on your legal business name and entity type, your EIN, a business bank account and routing details, a photo ID for each owner, your business address, and a short description of what you sell and how. Some business types may be asked for additional documents. Having everything ready usually makes approval faster.

How is your pricing structured, and will I be able to read my statement?

Ask every processor this. TouchSuite uses interchange-plus pricing, meaning you pay the card networks' actual cost plus a fixed margin. Ask any provider to walk you through a sample statement so you know what each line means before you sign.

Is there a contract, and what happens if I want to leave?

This is one of the most important questions to ask. TouchSuite accounts are month-to-month, cancel anytime, with no fees. Whoever you choose, get the cancellation terms in writing.

Will the POS handle tips, deposits, inventory, or invoicing the way my business needs?

Ask for a walkthrough using a real example from your business: a split check with tips, a salon booking with a deposit, a retail return, or a service invoice. If the system cannot handle your everyday transactions cleanly, it will cost you time every day.

Does the POS connect to my accounting software and online store, and is there an extra charge?

Integrations are often where extra charges show up, so ask directly. With a TouchSuite merchant account, our ERP, CRM, and e-commerce integrations are included at no monthly fee.

How soon after approval can I start taking cards?

Ask for a realistic timeline from application to first transaction. With TouchSuite, most merchants are processing within 24 to 48 hours of approval. Leave yourself time before opening to set up and test.
