Setting up payments for your new salon or spa

Before your first client sits in the chair, you need a way to book appointments, take deposits, split tips, and sell retail without slowing down the front desk. Here is what to plan for, what to have ready, and what to ask any processor before you sign.

What to get right

Booking, deposits, and no-shows

Most of your revenue runs through the appointment book, so your POS and booking tool should work together. Plan for keeping a card on file or taking a deposit when a client books, especially for long color, extension, or spa services. Decide your cancellation and no-show policy before you open, write it down, and make sure clients see it when they book. Your system should let you apply a deposit to the final ticket and charge a cancellation fee only when your policy allows it.

Tips and staff payouts

Clients want to tip at checkout, often on a card, and often to more than one person, such as a stylist and an assistant. Look for a POS that prompts for tips on the card reader, assigns them to the right staff member, and gives you a clean report for payroll. If you will have booth renters or independent contractors, think through whether they will run payments through your account or their own, and talk with your accountant about how that affects tips, commissions, and taxes.

Retail products and inventory

Shampoo, skincare, and styling products can be a meaningful part of a salon or spa's sales, and they sit on a shelf where they can quietly run low or go missing. A POS that tracks inventory by product, flags low stock, and records returns and exchanges saves you from counting by hand. It also helps to be able to ring up a service and a product on the same ticket, so the client checks out once.

Gift cards, packages, and online sales

Gift cards, prepaid service packages, and memberships bring in money ahead of time and fill your book, but only if your system tracks remaining balances accurately. If you plan to sell gift cards or products online, ask how your website or online store connects to your POS. With a TouchSuite merchant account, our ERP, CRM, and e-commerce integrations are included at no monthly fee, so client records, online orders, and in-person sales can live in one place.

How it works

  1. Get your business paperwork in order. A merchant account application usually asks for your legal business entity, your EIN from the IRS, a business bank account, and a government-issued ID for each owner. Have your business address and a short description of your services ready. Salon and spa licensing is handled at the state and local level, so check with your state licensing board and your city or county office for what applies to you and how long it takes.
  2. Plan your equipment and software. Think about where checkout happens: a front desk terminal, a card reader at each station, or a tablet you carry to the treatment room. List what you need, such as a countertop terminal, a receipt printer, a cash drawer, and booking software. Qualifying merchants receive free terminals and POS hardware from TouchSuite, with no upfront cost.
  3. Review pricing and apply. If you are taking over an existing salon or already processing elsewhere, send us your most recent processing statement and we will show you, line by line, what you are paying and beat it, or tell you honestly that we cannot. We offer interchange-plus pricing, where you pay the card networks' actual cost plus a fixed margin, and a cash discount program if you want to eliminate processing cost. Then you complete the application.
  4. Get approved and start taking payments. Most merchants are processing within 24 to 48 hours of approval. Give yourself a buffer before opening day so you can set up your service menu, staff profiles, tip settings, and inventory, and run a few test transactions with your team before real clients arrive.

Questions to ask a processor

How long does it take to get set up to accept cards?

It depends on how quickly you can gather your paperwork and how long approval takes for your application. Once approved, most TouchSuite merchants are processing within 24 to 48 hours. The bigger timeline factors for a new salon or spa are usually licensing, build-out, and inspections, so start the payment application while those are in progress rather than waiting until the week you open.

How will I be charged, and can you show me exactly what I am paying?

Ask any processor to explain their pricing model in plain terms and show you every line on a statement. TouchSuite offers interchange-plus pricing, where you pay the card networks' actual cost plus a fixed margin. If you already have a statement, send it to us and we will walk through it line by line and beat it, or tell you honestly that we cannot.

Am I locked into a contract?

This is worth asking every processor directly, and getting the answer in writing. TouchSuite accounts are month-to-month, and you can cancel anytime with no fees.

Can the system handle deposits, cards on file, and tips for multiple staff?

Ask to see these features working, not just listed. You want to take a deposit at booking, apply it to the final bill, charge a no-show fee according to your policy, and split tips between staff with a report you can use for payroll. If you use separate booking software, ask how it connects to the payment system.

What is a cash discount program, and is it right for a salon?

A cash discount program lets you offer a lower price to clients who pay with cash, with the card price reflecting the cost of processing, so you can eliminate your processing cost. TouchSuite offers one if you want it. Think about how your clients like to pay and how you will explain it at the front desk, and check your state's rules on how pricing must be posted and disclosed.

Do I need different equipment if I offer both salon and spa services?

Not necessarily, but it helps to map out where clients pay. A front desk terminal may cover everything, or you may want a portable reader for treatment rooms or a second checkout point if you have separate areas. Ask whether your hardware, booking tool, and retail inventory all run on the same system so you are not reconciling sales in two places.

Talk through your salon or spa setup

Tell us how your business will run, from booking and deposits to tips and retail, and we will help you plan the equipment and pricing that fit. If you have a current processing statement, send it along and we will review it line by line.

An email or a phone number is enough.
